The Executive Assistant & Office Manager provides high-level executive support to the CEO, CFO, General Counsel and Leadership Team while overseeing office operations, internal communications, board support, travel coordination, facilities administration, event management and key administrative processes. The role is critical in ensuring the smooth and efficient operation of the corporate office and supporting effective communication across the business.
Key Responsibilties:
- Provide high-level executive support to the CEO, CFO, General Counsel and Leadership Team, managing complex calendars, meetings, priorities and confidential business matters.
- Coordinate Leadership Team and Board activities, including meeting scheduling, agenda preparation, minute taking, action tracking and stakeholder support.
- Manage end-to-end executive, Board and stakeholder travel arrangements, ensuring seamless logistics, cost-effectiveness and policy compliance.
- Oversee day-to-day office operations, facilities, workplace services and vendor relationships to maintain a professional, efficient and engaging work environment.
- Lead internal communications across the business, delivering timely updates, announcements and engagement initiatives aligned to organisational objectives.
- Coordinate corporate events, employee engagement activities, celebrations and workplace culture initiatives, managing budgets, venues, catering and logistics.
- Support finance and administration processes, including purchase requisitions, invoice management, expense reconciliation, reporting and business administration activities.
- Manage procurement, office supplies, uniforms and service providers, ensuring appropriate stock levels, operational continuity and excellent stakeholder service.
Key Skills & Experience:
Essential
- Previous experience as an Executive Assistant, Office Manager or similar role.
- Strong stakeholder management and relationship-building skills.
- Excellent verbal and written communication skills.
- Exceptional organisation and time-management abilities.
- Experience supporting senior executives and leadership teams.
- Strong attention to detail and ability to manage multiple priorities.
- Advanced Microsoft 365 skills, including Outlook, Word, Excel and Teams.
- Demonstrated ability to maintain confidentiality and professionalism.
Desirable
- Experience with internal communications.
- Experience in event coordination and facilities management.
- Financial administration and expense reconciliation experience.
- Experience working with Board or governance functions.
